Introduction and scope
ClearCardio® LLC ("ClearCardio," "we," "us," or "our") is a direct-pay preventive cardiology practice located at 4343 N Josey Ln, Carrollton, TX 75010. We take the privacy of every visitor to this website seriously. This Privacy Policy explains what personal information we collect through this website, why we collect it, how we use and share it, how long we keep it, how we protect it, and the choices and rights you have.
This policy covers this website only. It does not govern the health information we create or receive when providing clinical care to patients: that information is protected health information (PHI) governed by our HIPAA Notice of Privacy Practices, published separately on this site. If anything in this policy conflicts with the HIPAA notice with respect to PHI, the HIPAA notice controls. By using this website, you acknowledge the practices described in this policy.
Definitions
In this policy:
- "Personal information" means information that identifies, relates to, or could reasonably be linked to you — such as your name, email address, or phone number.
- "Processing" means anything done with personal information: collecting, storing, using, sharing, or deleting it.
- "Service provider" or "processor" means a company that processes personal information on our behalf and under our instructions — for example, our CRM or website host.
- "PHI" means protected health information as defined by HIPAA — health information handled in the clinical relationship, which this website is not designed to collect.
- "Site" means the websites we operate at clearcardio.com and its language variants, including all pages, forms, and tools on them.
Information we collect
We collect information in four ways:
- Forms you submit. When you request a consultation, book a call, or contact us, we collect the contact information you provide: name, email address, phone number, and — where a form asks for it — an age range or a short message about what you are looking for.
- Assessment tools. If you use an interactive tool such as our Pulse Score, we collect the answers you choose. These are self-reported, non-clinical responses about general lifestyle and history categories, used to generate an educational summary. They are not a medical record, not a diagnosis, and are handled as website lead information — not as PHI.
- Device and usage data. Like most websites, we automatically receive standard technical data when you visit: IP address, browser and device type, operating system, pages visited, referring page, and approximate (city-level) location derived from your IP address. We use this to keep the site secure and working well.
- Communications. If you email, call, or text us, we keep a record of that correspondence and the contact details you used, so we can respond and maintain continuity.
Website forms and tools are not designed to receive medical information. Please do not include symptoms, diagnoses, medications, or other health details in them; clinical information belongs in our HIPAA-compliant patient portal once you become a patient.
How we use your information
We use the personal information we collect to:
- Respond to your inquiry and schedule the consultation or call you requested;
- Deliver the results of an assessment tool you chose to complete, along with related educational material;
- Communicate with you about our programs, availability, and next steps;
- Send you our email newsletter — only if you opted in — with educational content and practice updates;
- Operate, secure, and improve the website, including diagnosing technical problems and preventing abuse or fraud;
- Comply with legal obligations and enforce our Terms of Use.
We do not sell or rent your personal information, and we do not use website data to make automated decisions that have legal or similarly significant effects on you.
Legal bases for processing
We process personal information on the following bases: your consent (for example, when you opt in to our newsletter or submit a form asking us to contact you); taking steps you have requested (scheduling the consultation you asked for and communicating about it); our legitimate interests in operating, securing, and improving the website and in communicating with people who have expressed interest in our services, balanced against your privacy; and compliance with legal obligations that apply to us. Where consent is the basis, you may withdraw it at any time without affecting processing that already occurred.
How we share information
We share personal information only as described below, and never sell it:
- Service providers. Form and quiz submissions are routed to our patient-relationship and marketing platform (a GoHighLevel-class CRM) and connected scheduling tools so our team can follow up with you. We also use providers for website hosting, email and SMS delivery, and payment processing where applicable. Each processes your information only on our behalf, under contracts that restrict its use to our instructions.
- Professional advisors. We may share information with lawyers, accountants, and insurers where reasonably necessary.
- Legal requirements. We may disclose information when required by law, subpoena, or court order, or when we believe in good faith that disclosure is necessary to protect our rights or the safety of our patients, staff, or the public.
- Business transfers. If ClearCardio is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy's commitments.
We do not share form submissions with third parties for their own advertising purposes, and no advertising network receives the information you type into our forms.
Cookies and analytics
Strictly necessary cookies and local storage are always on — for example, to remember your light/dark theme preference and your cookie choice. Video embeds use YouTube's privacy-enhanced (youtube-nocookie) mode, which does not set tracking cookies unless you play the video.
For analytics and to measure our outreach we use Google Analytics 4, Google Ads, and Microsoft Clarity. These load only after you accept them in our cookie banner: until you choose, they run in a consent-denied mode (Google Consent Mode v2) that sets no analytics or advertising cookies. You can change your mind any time by clearing the site's cookies. When you submit a form, we may send a securely hashed (irreversible) version of your email to Google to measure ad conversions more accurately ("enhanced conversions"); this uses only the contact detail you provided and never any health information. We will never use tracking tools to collect health information.
You can control cookies through your browser settings, including blocking or deleting them; doing so may affect minor conveniences such as the saved theme preference, but the site will remain fully usable.
Data retention
We keep website inquiry and assessment data only as long as needed to respond to your request, maintain our relationship with you, and satisfy legal, accounting, and record-keeping obligations. As general guidance: inquiry records are retained while we have an active relationship or a reasonable prospect of one, and are deleted or de-identified when no longer needed; newsletter subscription data is kept until you unsubscribe; and technical logs are retained for a short period for security purposes. Information that becomes part of a clinical record is retained under the schedules that apply to medical records, as described in our HIPAA notice.
How we protect your information
We use administrative, technical, and physical safeguards appropriate to the nature of the data: encryption of data in transit (TLS) on every page of the site; server-side handling of form submissions so that credentials and API tokens are never exposed to your browser; access limited to team members who need the information to respond to you; and contractual safeguards with every service provider that processes data on our behalf. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security — but we work to protect your information with measures proportionate to its sensitivity, and clinical data is held to the stricter HIPAA standard described in our HIPAA notice.
Your privacy rights
You may request access to, correction of, or deletion of the personal information we hold about you through this website at any time by writing to care@clearcardio.com or to our mailing address below. We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law (generally within 45 days).
If you are a Texas resident, the Texas Data Privacy and Security Act (TDPSA) gives you the rights to confirm whether we process your personal data; to access it; to correct inaccuracies; to delete personal data you provided or that we obtained about you; to obtain a portable copy; and to opt out of targeted advertising, the sale of personal data, or profiling with significant effects. We do not sell personal data and do not currently engage in targeted advertising or such profiling. If we decline a request, you may appeal by replying to our decision; if we deny your appeal, you may contact the Texas Attorney General.
Residents of other U.S. states with comprehensive privacy laws (including California, Colorado, Virginia, Connecticut, and others) may have similar rights of access, correction, deletion, portability, and opt-out under their state's law. We honor such requests using the same contact channel regardless of which state you live in.
Children's privacy
This website and our services are directed to adults. We do not knowingly collect personal information from anyone under 18 years of age. If you believe a minor has submitted information through this site, please contact us at care@clearcardio.com and we will delete it promptly.
Do Not Track
Some browsers transmit "Do Not Track" (DNT) signals. Because no common industry standard for interpreting DNT has been adopted, and because this site does not engage in cross-site tracking, we do not currently respond to DNT signals. If we enable analytics tools in the future, we will revisit how we treat browser privacy signals — including Global Privacy Control — and update this policy accordingly.
Email, text messages, and your opt-out choices
By providing your phone number and submitting a form on this site, you consent to receive calls and text messages from ClearCardio about your inquiry, scheduling, and follow-up — including messages sent with automated technology. Consent to receive text messages is not a condition of receiving care or purchasing any service. Message frequency varies and message and data rates may apply. You can opt out of text messages at any time by replying STOP, and get help by replying HELP.
If you opt in to our email newsletter, you will receive educational content about cardiovascular prevention and occasional practice updates. Every newsletter includes a one-click unsubscribe link. Even after unsubscribing from marketing email, we may still send you transactional messages directly related to a request you made — for example, an appointment confirmation.
Third-party links and embedded services
This site links to and embeds services operated by third parties, each governed by its own privacy policy, which we encourage you to review:
- Our appointment calendar, which runs on our scheduling provider's booking widget;
- The patient portal at portal.akutehealth.com, operated by our HIPAA-compliant electronic health record provider — clinical care, medical records, and secure messaging happen there, not on this website;
- YouTube video embeds, loaded in privacy-enhanced (nocookie) mode;
- Trustpilot, where independent patient reviews are hosted;
- Podcast platforms where our episodes are distributed.
Once you leave this site or interact with an embedded service, that third party's practices apply. We are not responsible for the privacy practices of services we do not control.
Changes to this policy
We may update this policy from time to time to reflect changes in our practices, technology, or the law. The current version, with its effective date, will always be posted on this page, and material changes will be highlighted here. If we introduce third-party analytics or advertising tools, we will update this policy before activating them. Effective date of this version: July 22, 2026.
